Carlisle Tent Activities 2025 - Volunteers Needed!

When we started the FBBO tent activities quite a few years ago, we were hoping to expand the tent size and encourage site members to get together and have a good time. I am happy to note that we have been extremely successful doing that. Once @Pistol Pete got involved the food became awesome too! :thankyou:

The bad news is this has become extremely labor intensive and costly. Last year alone, Pistol Pete and I were still in the hole by almost $350. And this was after counting donations offered up by members at the tent (there are some extremely generous donors, and we greatly appreciate all of you who recognize the effort that goes into this). There is also a whole lot of planning and setup that has to happen: Food has to be planned, brought fresh and kept cold, then heated and served. We need tables, plates, napkins, condiments, etc. You get the idea - this is a lot of work and it is getting quite expensive for us to put this on every year.

I say the above not to complain, but to note that we need to start doing things a bit different, because @Pistol Pete and I will not be able to keep up with the effort and cost required to now put this on.

In prior years, we asked people to bring things but generally didn't track who was going bring what (or what was needed). This year, we are going to ask for commitments from members to bring specific things for the tent luncheon. Last year, we had over 120 people at the tent, so we need quite a bit of stuff!

Requested Items/ Help:
  • Beer, in a cooler with ice (ready to use and drink). NO GLASS BOTTLES based on Carlisle requirements - cans only
    (We have 5 or more "slots" for this)
  • Water, in a cooler with ice (ready to use and drink).
    (We have 3 or more "slots" for this)
  • Soda Pop, in a cooler with ice (ready to use and drink). Both Diet and Regular requested. Cans or plastic bottles only
    (We have 3 or more "slots" for this)
  • Potato Chips, Doritos, Corn Chips, etc. We request these in individual sized bags
    (We have 3 or more "slots" for this)
  • Brownies, Cookies or other dessert
    (We have 3 or more "slots" for this)
  • Paper towels
  • Paper plates
  • Plastic Forks
  • Raffle: The Raffle takes quite a bit of time to deal with. It is a fun time, but I would like to ask if someone can coordinate this.
Pistol Pete and I (with perhaps one or two others) will still provide the main food items.

Beer, water, soda here. Two large coolers, and I’ll try to mix up the brands. A few Gatorades too.

Similar to last year. Taking requests. Will provide fresh ice on Friday and Saturday morning.
I like Yeungling, can’t get it out here. That Genny Cream Ale from NY is good too.

maybe we could set up a collection fund, where members could donate (voluntarily) to the out of pocket costs up front to ease the pain.

10, 20, 50...... whatever is comfortable; it all helps

if anyone has suggestions or ideas on how to do this, please chime in. I wouldn't want anyone to think their donation winds up in someone's pocket....

I'd be more than happy to collect via paypal; so Hawk (or Pete) isn't in any sort of awkward position, it doesn't have to be me, there may be a better way, just thinking out loud....... donations could remain anonymous, or not ...... I could run a transparent tally, and update it frequently

I'm gonna send Hawk 100 to get the ball rolling, and probably another 100 to Pete in a couple weeks (cash flow) as cash is King....... don't be shy, feel free to suggest, or reach out privately..... time is short. and the FBBO tent is quite worthy; not just for Saturday lunch; but serves as a "base" for members to sit down, rest, and get out of the sun all weekend

My wife is having a guest speaker from Genesse come and speak at the local Historical Society.

Sending a PayPal or other form of donation direct to Hawk - would be the best IMHO....obviously send him a Private Message first so he knows where the money came from. :thumbsup:

whatever it takes.....these guys put up the money, dedicate their time, and make it all happen;

and we all know, "no good deed goes unpunished"......

I agree Yeungling is good. Can't get it in Hawaii. But that's all I drank last year, while in PA.

I had no idea that the numbers were up at 120 over the weekend.
We had a lot of families last year. Many cases of a member and their spouse, but also sometimes (adult) kids or parents with them. It's great and I have really enjoyed meeting and talking to folks.
 
Thanks for the outpouring already fellas, Hawk and I kinda struggled with how to approach this, but I think we're on the right track. You guys are the best. :thumbsup:
